Dealer portal and inventory status

Follow every physical unit from production to customer.

How much time do you spend finding out what is happening with your products?

The answer almost always exists somewhere. The problem is that someone has to go looking for it.

Salesperson on the phone at a computer
01 — The salesperson“Is this one available to book?”
Warehouse worker by a container
02 — The warehouse“What is in the next container?”
Dealer on the phone next to a product on a pallet
03 — The dealer“When will my product arrive?”

From factory to customer

Same product. Same chain. Five different perspectives.

Every link needs to know what happened before them, what is happening right now and what happens next.

  1. Technician at a product in the factory
    01 — The manufacturer“Has it been produced?”
  2. Container loaded onto a truck at the port
    02 — The transport“Where is it now?”
  3. Warehouse worker among pallets in a distribution centre
    03 — Distributor“What do we have available?”
  4. Salesperson and customer by a hot tub in the showroom
04 — The dealer“Is it available to book?”
  5. Delivery of a product on a pallet to a house
05 — The customer“When will my product arrive?”

Wherever you are in the chain, you depend on what happens before and after you.

Manufacturers, importers, distributors and dealers work in different parts of the same product flow. Cleveco connects the information between the links.

The more of the chain you touch, the greater the value.

Cleveco is built for the entire chain.

From visibility to value

The same missing information costs you more than once.

Someone maintains it. Someone looks for it. Someone answers the question. And when the information is wrong or outdated, the work starts again.

Cleveco reduces the work required to maintain the information — and the work required to find it.

Approximately €30,000 saved per year

From approximately 100 to 5 hours a month

Starting point

A Swedish importer with its own dealer network kept its stock in a manually updated spreadsheet. Every unit moving along the chain had to be entered manually. Releases required contacting the third-party warehouse, while dealers requested invoices by email and phone.

Change

The spreadsheet was replaced by the first version of the portal on which Cleveco Product Flow is based. Each unit’s location and status are tracked in one flow, and releases and invoice requests are handled in the portal instead of calls and emails.

Result

Time spent on these tasks fell from approximately 100 to 5 hours a month, and one position could be eliminated. The invoicing tasks included in that position were transferred to the accounting firm. Net savings were therefore approximately SEK 340,000 (about €30,000) per year, equivalent to half the cost of the position.

Next step

An ERP integration to also reduce the accounting firm’s workload.

Frequently asked questions

What is Cleveco Product Flow?
Cleveco Product Flow is a dealer portal where importers and manufacturers track every unit from production to delivery, while dealers can see availability, reserve units and book on their own – instead of relying on spreadsheets, emails and phone calls.
Can dealers see inventory status and book on their own?
Yes. Each dealer sees available units in their categories – in stock, in transit or in production – with an estimated date, and reserves or books directly. Reservations have a time limit and are released automatically when it expires.
Can we stop sending inventory spreadsheets?
Yes. The stock list is replaced by a dealer portal where dealers see the same current status as you, without anyone having to send a new Excel file. Your units are imported from Excel, or from PDF order confirmations that AI interprets and you approve.
Can we track every unit by serial number?
Yes. Every unit has its serial number, status and full history, from production and transport to stock and delivery. A search for the serial number gives you the answer in seconds.
How do dealers know a delivery is delayed?
When a container's estimated arrival moves later, every unit on board shows the new date and the container is marked as delayed. Dealers see it directly in the dealer portal, often before they have to ask.
Can dealers request delivery and an invoice?
Yes. Requests for transport, collection or an invoice go into a queue for your team. Rules such as a paid invoice are checked before a unit can leave the warehouse.
Does the dealer portal help us buy the right stock?
Yes. Inventory analysis weighs sales velocity, seasonality and incoming units for each model and suggests what you should buy. Purchasing is based on actual data rather than guesswork.
